Reservation Packet Guide for Owners and Rental Agents

As you may know, the Board of Directors has charged management with the duty of implementing a procedure for the controlled distribution of guest wristbands and parking passes. This will be accomplished through the sale of reservation packets. The revenue generated from this operation will be used to enhance resort amenities and supplement Association expenses.

This program will commence on January 1, 2019. To prepare for this launch, we have created an instructional guide which can be followed when navigating the online purchase process. We hope you find this information to be clear and it serves you well. You will find this guide attached to this communication.

Starting today, we are opening the online store for advance orders. We suggest placing your first order large enough to accommodate your reservations from January through March and continue to place your order amounts based on each booking season.

You may schedule your advance orders for pickup starting December 26, 2018. Pick up upon arrival starts on January 1, 2019.

We requested this information in the past and many of you were kind enough to participate. We are requesting this info again and will continue to ask for updates so that we may maintain the Association records.

Important Notice – 2019 Owner and Guest Wristbands

Please note that your 2019 Owner Amenity wristbands are available at the Association office for pickup. You will be asked to provide identification. The number of amenity bands issued per unit owner is pursuant to the Wristband and Parking Pass Policy.

Additionally, we would like to thank the Rental Agents and Owners who have pre-purchased their 2019 Reservation Packets. Many of you have expressed how pleased you have been with the structure and ease of use.

It appears there remains a significant number of owners who have not communicated this policy and the January 1, 2019 deadline to their Rental Agents. It is very important that you communicate this change with your rental manager in order to reduce confusion and any inconvenience placed on our guests. We ask that you forward this email to your agent so that they may purchase the necessary packets in advance.

All bands and parking pass issued prior to January 1, 2019, will remain valid until January 15th. At that time, all bands and parking passes must be replaced with 2019 Cloth and the new Orange Parking passes. All Cloth and Orange passes for 2019 must be purchased in packets. From Jan 1st to Jan 15th Security will politely inform all guests with old bands they must reach out to the entity they rented their unit to get 2019 bands. Security will have preprinted notes to put under the wiper blades of all vehicles that need a new parking pass. The note will move to a warning on Jan 10thand after the 15th the parking policy is to be enforced. An updated parking policy with tow instructions will be forthcoming this week.

Owner Update – Communications Hurricane Michael

Owner update

Facility storm preparations are progressing. We should meet the target of clearing all decks and sealing the primary entries. Additional efforts will continue until the storm approaches.

Once the storm passes a status update will be posted defining what is generally known about the property and surrounding area. A daily status call has been set up in the event the facility sustains damage. The call will provide all known damage and the plan to complete required repairs. The call will continue until the facility is back online.

Communications during Hurricane Michael

Now that the mandatory evacuation is in place no one should remain in the structure.

We will be shutting down mechanical systems including the elevators and HVAC equipment to prevent damage to the equipment and facility.

After the storm, Association staff will not respond to any requests until common areas are cleared and all life safety and mechanical equipment is back online.

A daily conference call will be established tomorrow to communicate the recovery effort and progress.

Call in information will be posted on this page and emailed to all owners.

Mandatory Evacuation for zones A, B, and C

The order is scheduled to be issued at 6am Tuesday morning.  Those that are able to evacuate early please do so.

UPDATE – Hurricane Michael

Origin at Seahaven Owners and Guests,

 

As of 10:00 AM CDT, Michael has been upgraded to Hurricane status with winds up to 75mph.  The storm is expected to strengthen and make landfall as a Category 2.  A CAT 2 hurricane has sustained winds of 110 mph.

Owners and guests should make preparations for evacuation.

We continue to ask that all balconies are cleared of furniture and items which would become projectiles.

We expect to start experiencing effects of the storm by Tuesday afternoon.

Panama City Beach is considered an island.  Once winds reach 50mph, bridges will be closed.

Origin at Seahaven occupant “Need to Know” during a mandatory evacuation

  • If Bay County Emergency Services issue a mandatory evacuation, we will make final preparations to secure the building.
  • Before management and staff evacuate, elevators and generators will be shut off.
  • During a hurricane, emergency personnel will not be able to respond to 911 calls.
  • The building may be without electricity and potable water for periods of up to 48 hours or more.

We urge everyone to strongly consider making plans and preparations now.
